August 16, 2009 Parents Meeting Minutes Minutes from August 16th Football Parents Group Our athletic trainer Ashley Hackman handed out sheets with information about the Sports Medicine Outreach Program. Key points she brought up were 1) her business card with her phone number (office & cell), 2) She will not be able to come to practices but you have the option of calling her or going to the free injury clinic from 7 – 9 a.m. Mon. – Fri., 3)The sports physician is Dr. Biggs and Adam Derhake is the sports surgeon that is just starting., & 4) QMG now offers Impact Concussion Testing for $10 and is used to confirm concussions and when it’s safe to return to play. Angie Privett talked next about the program books. All advertisements must be paid now. She sold 14 � pages which is 1 � pages more than last year. Receipts total $1,475.00 with a cost of $425.00. She has ordered 500 program books to be distributed at games, these will be black & white. If you want to, this is also on the football website in a PDF file and in color. You have access to copy or print from there. Coach Asbury was next and used this opportunity to brag on the guys in their summer weight program. All guys that participated this summer improved weights and speed. He was excited by this. Coach also handed out rules for the season on Saturday. Everyone needs to read it, and both a parent and football participant must sign and turn in to Coach. With the start of school this week, he stated that he expects all to be good citizens in class. The school has purchased new helmets that are improved from last years and fit the guys better. The school has also purchased a few better quality shoulder pads. This Friday is “Meet the Mustangs” starting at 7 p.m. Practice will run until 5:30 and then they will go out for the game. This year they will still have the “Call your play” fundraiser for $5. This money is used towards meals before games. This week practices are M, W, Th, & F 5:30 – 8 p.m. & Tues 3:30 – 5:45. This is also listed on website. This Saturday practice will be from 7 – 9 a.m. and then the guys are expected to have a sales blitz on the discount cards until 1 p.m.. This is the final day for selling cards. All guys must sell 2 cards to have stickers on helmets, 10 cards will also get a girdle, practice t-shirt & shorts, & 20 cards adds your jersey for free. Kelly filled in for Cathy as leading the meeting. She started with talking about the apparel forms. Today is the due date for the first order to be turned in, this order is to be delivered Friday Sept. 4th. Please turn in to Debbie Dodd with payment. In discussing meals with Coach Asbury, it was decided that all varsity away games would have the meal served on the bus. Due to this change, more Gatorade in bottles will need to be provided. This year we need 3 families to sign up to put together and feed the players for all Varsity and Jr. Varsity games. The Varsity away game meals will need to be something that can be sent in to go boxes. The parents group has budgeted money to help with these meals. At this time, it was decided that $120 for Varsity games as there will be 50 people to feed and roughly half that for Jr. Varsity as there will only be 20 people to feed. Please make sure that you contact Kelly and sign up for a meal. If you do not, then the committee will decide a meal for you and contact you with your responsibility date. We still have a XL hoodie and Child Sm. short sleeve T-Shirt from last year that is being sold at cost. The hoodie was purchased after the meeting. Kelly would like you to turn in your raffle money promptly and you can get more tickets anytime by contacting her. This is doing well, we have sold enough already to cover the prize expenses. Any sold at this point helps the committee to purchase items for the team. The tunnel has been purchased, delivered, and the stencil is done. If you were at the Old Settler’s Parade, you saw the horse to be put on the outside of the tunnel. This tunnel is set up at the far end of the football field. The parents group has purchased 17 extra large duffel bags for the team with profits from fundraising. It will be a goal to purchase more either later or next year, depending on income. The Parents Group has also purchased name stickers to be put on the back of their helmets. Hillary has made all and applied those to all helmets brought in to the meeting. Players, you need to arrange to do this at another time, if you did not bring in your helmet. For the “Meet the Mustangs” game this Friday, it was announced that the cheerleaders are planning a tailgating meal to start at 6 p.m. At least one grill will be provided. In addition, bringing Gatorade to the game is your admittance fee. The “Quarter Back” game that was set up at Old Settler’s will be there for pre-game fun. If you missed this game there, be sure to check it out! For those not satisfied with their picture taken last week by Angie, you need to let her know so they can be retaken. If you did not get a picture, then you also need to get a hold of Angie. Debbie handed out expense / income summaries for the group. We now have a checking account, two approved account users – Kelly Zanger and Cathy Wittler, and a group Treasurer – Debbie Dodd. First order for this group was to document expenses and income from all fundraisers since end of school May 09. You can now see this summary, if you would like a copy, contact Debbie. We also provided an expected end of season summary showing the meals expense and the duffel bag expense. A question arose as to whether the parents providing the meal could donate the cost instead of using funds from the group. This is always an acceptable action and allows the funds to be used for the team in other ways. Chris Huckstep and Dave Wittler are in charge of painting the field. They can use any additional helpers for this, contact them if you are interested. Angie reported that the website is updated daily. If you have not gone in recently, you should take an opportunity to do so. We would like to express a big THANK YOU to Angie for doing this as it is awesome! Thursday night family meals will start on Aug. 27th, , hopefully starting at 7 p.m. Coach and Kathy Asbury will provide this meal. After that, we will need to decide what to do each week.. Paper products will be provided by the group, and Gatorade will be provided for players only please. Encourage everyone to come out and support your Unity-Payson Football team.
